Do you know your supplier master duplicate rate?

Almost nobody does. Your ERP checks for a duplicate invoice inside one supplier ID. The expensive duplicates sit under two IDs for the same company, so the check never sees them, and the same bill gets paid twice.

We find those records and those payments, get the money back, and clean the master so it stops happening.

Same company, same tax ID, two supplier IDs. Invoice 44817 was keyed two ways and paid twice. The ERP's duplicate check never flagged it: $83,912.40 paid out a second time.

The free sweep

Ten business days from the day your files arrive. No cost and no commitment. If it finds little, you owe nothing and you know your number.

You send

Two read-only exports that a DBA or ERP analyst can usually run in about twenty minutes:

  • Your supplier master, inactive records included
  • 24 months of AP invoice and payment history, voids included

No bank details: leave them out of the query entirely. Nothing is installed and nothing connects to your systems. The files come through your own secure file share or an encrypted link, never email.

You get

  • Your duplicate-supplier rate: how many supplier records are the same company under another ID
  • Every payment made twice, each with the two payments, the invoice numbers and the evidence that the two records are one company
  • A recoverable amount in confidence tiers. We lead with the high-confidence number, because that's the one you can act on
  • The root cause: how the duplicates got in, so they can be stopped

We walk you through the findings in person where we can. We have extract specifications ready for Oracle EBS, Oracle Fusion, SAP ECC and S/4HANA, NetSuite and Sage; other ERPs export the same fields.

After the sweep

The sweep shows you the number. If it's worth acting on, each step below is offered only after the one before it has earned it.

  1. Recover

You approve every claim before a supplier hears about it. Letters go out under your letterhead, and replies come to a mailbox on your own domain. A recovery counts only when the cash or credit actually lands in your ledger. Fees are set in a recovery agreement before any work starts.

  2. Clean

Each proposed merge shows its records side by side. Your reviewer picks the record to keep and approves it. You get a sign-off sheet and a load file for your ERP; your team makes the change. We never write to your system.

  3. Control

A check at the point of entry for new suppliers, bank-detail changes and invoices. It advises block, review or allow with its reasons, and your team decides. A bank change can't pass without a callback to the number already on file.

  4. Monitor

Re-sweeps of a fresh extract at about six and twelve months show whether the duplicate rate is holding, with a one-page report each time.

The same sweep also checks

Supplier statements against what you paid, invoice prices against contract prices, foreign-currency payments against the agreed rate, uncashed checks for bills already paid, and sales tax on exempt purchases for your tax advisor. Each needs its own extra export, and you choose which.

Before an ERP migration, we find the duplicates in the item, customer and GL masters the same way and show the record each group should keep, so the new system starts from one record per thing instead of carrying the duplicates forward.

Your data

You're being asked for a file listing every supplier your company pays. That deserves a published answer. Each line below goes into the engagement letter.

Read-only
We receive a one-time extract. We never connect to your ERP and never hold write access to anything.
No bank details
Account and routing numbers are left out of the query at the source. If one arrives by mistake, our intake drops it before anything else happens.
A person approves every change
The software proposes and a named person on your side commits. Nothing is merged, posted or sent automatically.
Evidence for every finding
Each finding cites the payments and invoices it came from, so your team can look it up. Every change is logged and reversible.
Paperwork first
A mutual NDA and a data processing agreement are signed before the extract leaves your building.
Destroyed at 90 days
If we don't go on to a paid engagement, your files are destroyed 90 days from receipt and we send a written destruction certificate listing each file by fingerprint.
No AI on your data by default
The sweep runs on rules and statistics on our own machine. A hosted model is used only with your written consent, for the hardest few pairs.
24-hour notice
If we suspect any compromise involving your data, your named contact hears from us within 24 hours.

If your policy is stricter: your team can one-way hash tax IDs before the file leaves, or we run the whole analysis on your hardware, in your building.

Who you'd be working with

Landi Partners is a family-owned firm in Western Pennsylvania, working with manufacturers and industrial distributors in the Ohio Valley and beyond.

John Landi, the founder, has spent about 25 years working with companies that run Oracle EBS and Fusion, SAP and Sage, at the software and services firms that serve them. He runs every discovery call and every sweep himself. You talk to the person doing the work.

We started with one question finance teams rarely ask about their own data: how much are we paying twice? The sweep exists to answer it with your own records, not an industry estimate.

Tell us a little about your company and we'll set up a 30-minute call. You'll leave it with the extract specification for your ERP, our data-handling commitments and a mutual NDA to review.

Please don't send company data through this form. Files move only after the NDA is signed, through a secure channel.
